Job Description
The Records Management Specialist is responsible for records retention, deposit verification, and all aspects of document imaging. This role ensures records are accurately imaged, indexed, retained, and disposed of in compliance with established retention schedules and regulatory requirements. The specialist also supports third-party verification requests and ensures imaging tasks are completed accurately and within established timeframes. Pay rate is $18 hourly.
Duties and Responsibilities

Independently prepares documents, receipts, and teller work for scanning and imaging into appropriate folder locations.

Verifies all items are processed accurately and in a timely manner.

Ensures imaged documents are clear, complete, and properly indexed.

Analyzes records retention schedules and governmental recordkeeping requirements to determine timelines for transferring records to inactive or archival storage, or for secure destruction of obsolete records.

Processes verification of deposit requests received from government agencies, including but not limited to SSA and Accuity.

Maintains accurate, up-to-date documentation of processes and procedures related to assigned work functions.

Accurately files and maintains both paper and PDF records.

Performs day-to-day records retention activities.

Assists other functional areas within the Loan Deposit Servicing Division as needed.

Performs other job-related duties as assigned.
Knowledge and Skills

Proficient in the use of software and hardware tools for creating, storing, retrieving, and disposing of records.

Strong working knowledge of various record formats, including paper, electronic, and microfilm.

Demonstrates professionalism, courtesy, and effective interpersonal skills; interactions are primarily routine and internal, with limited member or vendor contact.

Exceptional organizational and time-management skills with strong attention to detail and the ability to independently manage workload and produce high-quality work.

Maintains current knowledge of applicable policies, procedures, and guidelines relevant to assigned responsibilities.
Education and Experience

High school diploma or GED required.

One to two years of related or similar experience preferred.
