We are seeking a highly motivated and detail-oriented Operations Support Specialist to assist and support the Director of Operations in the Real Estate industry. This role requires an individual with exceptional organizational skills, a strong sense of urgency, and the ability to manage multiple tasks efficiently to ensure deadlines are consistently met. The ideal candidate will excel at tracking and completing projects from start to finish, ensuring seamless communication and collaboration between team members.
Key Responsibilities:
- Provide direct support to the Director of Operations by managing tasks, deadlines, and project timelines.
- Maintain excellent communication with upper management, brokers, and other stakeholders, acting as a liaison to ensure all parties are aligned on goals and deliverables.
- Draft, customize, and finalize documents tailored to specific projects or assignments.
- Follow up on tasks at every step of the process, ensuring completion by tracking progress and adhering to chains of command.
- Organize and prioritize workloads effectively, ensuring all tasks are completed accurately and on time.
- Manage information flow by following up and following through with all necessary parties to obtain required documents or updates.
- Create and maintain detailed records to ensure task completion, accountability, and transparency.
- Exhibit professional email etiquette and strong written communication skills when corresponding with stakeholders.
Qualifications:
- Excellent organizational and time management skills with a proven ability to prioritize tasks.
- Strong communication skills, both verbal and written, with an emphasis on professionalism and clarity.
- High attention to detail and accuracy in drafting and reviewing documents.
- Ability to work independently while maintaining close collaboration with a team.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other project management tools.
- A proactive approach to problem-solving and the ability to anticipate the needs of others.
Preferred Qualifications:
- Experience in a real estate, operations, or administrative support role.
- Familiarity with project tracking and document management systems.
