Job Description
Executive Assistant Finance Department
Monday - Friday 8am-5pm
RESPONSIBILITIES AND JOB DUTIES
Performs complex secretarial, clerical, and administrative duties for Bank senior officers. Prepares invoices, reports, memos, letters, and other documents, using word processing, spreadsheet, database, or presentation software.
Provides organizational support for the Finance Department.
Provides administrative support as needed for the Investments Representative.
Acts as Executive lobby receptionist. Greets customers and responds to questions, answer telephones, takes messages, and schedules appointments.
Prepares agendas and makes arrangements for meetings.
Serves as clerical back up to payroll, accounts payable, and fixed asset systems input functions.
Maintains, files, and retrieves general and confidential files, documents, records, and reports.
Updates payroll records in TimeForce by entering changes in salary, additions and terminations of employees, job title changes, and department/division transfers.
Updates the vacation calendar and verifies vacation taken for accuracy.
Responsible for employee benefits enrollment and terminations on:
Health insurance coverage (currently Blue Cross/Blue Shield of Texas)
Dental insurance coverage (currently Principal Dental Insurance)
Life Insurance/AD&D (currently Sun Life Financial (fka Genworth))
Supplemental Accident and Cancer Insurance (currently Colonial Life)
401K enrollment and changes (currently First Mercantile)
Cobra notifications (currently Ceridian)
Assists with the coordination of the Bank’s annual benefits open enrollment process.
Assists the Human Resources Department with the upkeep of filing. Maintains confidential employee and payroll records.
Exercises independent judgment under moderate supervision.
Performs other duties as assigned.
$18-$24 D.O.E
