Equipment Desk Specialist

Job Description
The day-to-day duties are but not limited to:
- Get license renewals- Monthly and as needed
- State inspections. Set up times for equipment to get their state inspections. File the paperwork in the equipment file. Monthly and as needed
- Get replacement plates. As needed
- Count inventory. Count all filters, bearcat parts, motor mart parts, nuts, bolts, screws, terminals, tires and oils. Biweekly
- Input all inventory numbers that I counted in the computer. Post them to specific equipment. Monthly
- Input fuel usage for all the equipment off of the fuel report that prints daily. Order fuel cards. Monthly and as needed
- Do weekly maintenance/mileage for Clark. Collect all mileages and input them in the computer. Weekly
- Work orders for PM' s. Weekly
- Set up or delete fuel codes for fuel pump. Issue fuel codes for new employees. Delete fuel codes for any employees that may have quit. Keep track of who is using which code. As needed
- Keep equipment list updated. When we buy or sell a piece of equipment. Make sure employees driving equipment is updated on list. When we sell equipment pull file and put it aside for sold equipment. As needed
- Call for tire pickup. As needed
- Call coke for service and fill up when coke machine is empty or not working. As needed
- Make copies of all registrations. When I go get registrations I bring them back and make copies of the new license plates and the stickers update in Viewpoint. Monthly or as needed
- Order 90 day permits. When they come in I make copies of them. 1 for me, 1 for the credit card file, and 1 for the truck.
- Keep insurance cards current and in equipment. Annually and as needed
- Do cab cards. Cab cards are done over the internet every September. Make sure all the equipment we are getting cab cards for are still active. Order permit. Make copies to go in trucks and one copy to go with the credit card. Annually
- Order fuel.
- Give out PO numbers to employees and vendors. When employees call in I give them a PO number after they give me invoice number, amount, equipment and description of what is being purchased. Daily
- Keep all equipment files current and updated. As needed
- Check out keys. Have guys sign out for keys that they need. As needed
- Keep tire inventory. Weekly
- Underground storage tank self certification. Yearly
- Setup toll tags and pay any toll violations. As needed
- Keep up with shop supplies. Shop Towels, brake cleaner, windshield washer fluid etc. Daily
