Job Description
LK Jordan is currently seeking an Administrative Specialist II in the downtown are for a local non-profit organization. This position will be responsible for providing administrative support to the HR department and be the first point of contact for onboarding and welcoming new employees. Some general accounts payable processing will also be required. Schedule is Monday- Friday from 8:00am- 5:00pm. Pay starts at $21.60! Anticipated to last for 3-6 months.
RESPONSIBILITIES/ FUNCTIONS:
- Provide excellent customer service to Opportunity Home employees.
- Serve as the first point of contact for onboarding and new hire temporary employees.
- Assist in tracking attendance for onboarding and training sessions.
- Process temp agency invoices, ensuring billing accuracy and timely reconciliation.
- Monitor temporary employee billing to maintain the yearly budget.
- Manage billing for HR vendors, ensuring timely and accurate payments.
- Maintain an up-to-date temporary employee roster.
- Serve as a liaison for temp agencies regarding timesheet approvals, time off, and communications.
- Coordinate communication between HR and other departments as needed.
- Answer front desk phone, handle general inquiries, and refer complex questions as necessary.
- Track and distribute employee ID badges, movie tickets, bus passes, and parking passes.
- Ensure front desk coverage during absences or events.
- Utilize Google GSuite tools for scheduling, collaboration, and data management.
- Order onboarding and office supplies.
- Manage incoming and outgoing mail and prepare routine correspondence.
- Gather data and produce reports, maintaining records in Google Sheets.
- Assist with HR events, training, and various projects.
- Support HR initiatives, including emergency response and policy adherence.
- Participate in Trauma Informed Care and diversity, equity, and inclusion initiatives.
- Collaborate with data governance roles as needed.
- Perform other duties as assigned.
REQUIREMENTS:
- Two (2) years experience in administrative or clerical work, human resources administration, and/or utilization of an HRIS program.
- 2 year of Administrative, secretarial and/or clerical work experience.
- Must have a valid driver's license and reliable transportation.
- Successful completion of a background check and drug screening test.
- High School Diploma or GED
