Job Description
L.K. Jordan & Associates is searching for an Administrative Assistant to work in our Corpus Christi, Texas office. This is a full-time regular position working directly for L.K. Jordan & Associates. We match talented people with fantastic clients through staffing their temporary, temporary to hire, and direct hire employment needs. The Administrative Assistant will be responsible for assisting the Staffing Assistant, Staffing Supervisors, Direct Hire Recruiters, and Branch Manager with sourcing and recruiting of high-quality candidates for placement which meet a broad range of client qualifications in multiple disciplines. This position will answer phones, edit resumes, process timesheets for temp employees and preform candidate intake.
Key Responsibilities:

Call Management and Reception:
-
Answer and route incoming phone calls promptly and professionally.

Greet and assist visitors, clients, and employees, ensuring a positive first impression.

Manage and maintain a neat and organized front desk area.

Applicant and New Hire Coordination:
-
Set up applicants with online application systems and provide guidance as needed.

Distribute and collect new hire documents, ensuring all required paperwork is completed and processed.

Schedule and coordinate interviews and follow-up appointments as required.

Background Checks and E-Verify:
-
Run background checks on potential new hires, ensuring all necessary checks are completed accurately.

Conduct E-Verify processes to confirm the eligibility of employees to work in the U.S.

Maintain confidentiality and security of all background check and E-Verify information.

Drug Screening:
-
Coordinate and schedule drug screening appointments for new hires and current employees as needed.

Follow up to ensure timely receipt of results and maintain accurate records.

Administrative Support:

Assist with various administrative tasks, including data entry, filing, and document management.
-
Prepare and distribute correspondence, reports, and other documents.

Provide support for special projects and other duties as assigned by management.

Compliance and Record-Keeping:
-
Ensure compliance with company policies and legal requirements related to employment and records management.

Maintain accurate and organized records of applicants, new hires, and other HR-related documentation.

Qualifications:
-
Education: High school diploma or GED required; associate’s degree or relevant certification in administration or human resources preferred.

Experience: Previous experience in an administrative or front desk role preferred.

Skills:
-
Excellent verbal and written communication skills.
-
Bilingual in English/Spanish a plus!

Proficiency with office software (e.g., Microsoft Office Suite) and office equipment (e.g., phone systems, fax machines).

Strong organizational and multitasking abilities.
-
Attention to detail and accuracy in handling sensitive information.

Ability to maintain confidentiality and handle sensitive information with discretion.

Work Schedule:
-
Monday through Friday from 8:00AM to 5:00PM, with occasional preapproved overtime.
