Job Description
Accounting and Office Coordinator needed in NW San Antonio. What You’ll Do
Accounts Payable:

Enter vendor invoices into QuickBooks accurately and timely.

Conduct monthly check runs and set up new vendors.

Reconcile vendor statements and resolve discrepancies.

Track payment deadlines and ensure on-time payments.
-
Manage employee expense reports and reimbursements.
Accounts Receivable:

Generate client invoices by processing data from Smartsheets into QuickBooks.

Verify purchase orders and apply correct job codes to invoices.

Email invoices to clients and maintain detailed records.
-
Respond to client inquiries regarding invoices and payments.

Reconcile accounts receivable balances and prepare aging reports.
Payroll Support:

Calculate and process subcontractor payroll weekly using Excel (pivot tables).

Print and distribute payroll checks.
Administrative Support:

Answer phones, respond to inquiries, and provide general office support.

Order and manage office supplies.

Maintain both digital and physical filing systems.

Assist with tracking and compliance for licenses, permits, and certifications.

Coordinate communication with subcontractors and clients.
What We’re Looking For

Experience with accounts payable, receivable, or payroll processing.

Proficiency in QuickBooks and intermediate Excel skills (pivot tables a plus).

Strong data entry skills with a high level of accuracy.

Ability to multi-task and manage a variety of responsibilities in a small office setting.

Excellent organizational and communication skills.

Familiarity with construction or subcontracting environments is a plus but not required.
